Job Purpose
Develops, implements, analyzes, and adapts direct response Annual Giving Program, including mail, telephone and electronic outreach to ensure program growth through renewals and acquisitions. Responsible for review and communication to ensure accuracy of gift and donor data related to this program. Coordinate and implement donor acknowledgement process for the direct response Annual Giving Program and Monthly Giving Program.
Job Context
The Manager of Annual Giving provides communication and stewardship to the Fund’s annual giving donors, including donor prospects, through the Direct Response Annual Giving Program to help the organization increase revenues. The position is also responsible for the annual giving acknowledgement process, annual giving batching process, and stewarding of the Fund’s monthly donors.
This individual must share the Fund’s core values and passions for American Indian education to convey the need to current and prospective donors. Success for this position is the positive stewardship of donors through direct response, which will help to foster meaningful donor relationships, donor retention, upgrading giving levels and the acquisition of new donors.
Job Responsibilities
1. Manages and implements the creative strategy, management, and analysis of the direct response annual giving program, including mail, telephone and electronic outreach.
a. Work with direct response consultants and appropriate staff to produce fundraising creative strategy concepts, messaging, information and photo gathering, copy review and editing, and obtaining appropriate senior management approval.
b. Work with direct response consultant and appropriate staff to develop and test new appeal strategies.
c. Prepare expense budgets and revenue projections and track actual against expense budgets and revenue projections for all aspects of the direct response annual giving program.
d. Provide expense budget and revenue projection updates monthly to accounting team.
e. Liaise with appropriate individuals and organization s to ensure consistency adherence to solicitation policies, accuracy of records, and overall integration of the fund’s marketing efforts.
f. Oversee the selection and management of outside vendors and telemarketing firms related to the direct response program annual giving program.
g. Work with direct response consultants to implement and monitor production schedule for all solicitations and public awareness communications related to the direct response annual giving program.
h. Work with direct response consultant to analyze and report on program performance in total, by appeal and by donor segments.
i. Interface with public awareness team to integrate direct response campaigns with other online efforts.
j. Develop goals, priorities and timelines on a regular basis to insure timely and efficient management and completion of all program efforts and related tasks.
2. Maintains donor acknowledgement process for the annual giving program for all individual donor gifts under $1,000.
a. Sends acknowledgements within 48 hours.
b. Sends welcome packets to all new annual giving donors.
c. Updates acknowledgement letters as needed and ensures new letters are in database system and appropriately linked to appeals.
3. Administer batch review process for gifts under $1,000.
a. Review data entry of all gifts under $1,000 within a 24-hour time period of entry into Raiser’s Edge.
b. Communicate to Date Entry team any changes to batches with 24-hours of entry.
c. Respond to inquiries about entry from the Data Entry team.
d. Coordinate with IT Manager to fix any errors after gifts have been committed in Raiser’s Edge.
4. Administer monthly giving program.
a. Processes direct debit and credit cards on the 15th of each month, including following up with donors whose credit cards or direct debits are declined.
b. Provides annual acknowledgements.
c. Responds to inquiries in a timely and professional manner with an emphasis on maintaining and upgrading monthly donors.
d. Proactively contact donors prior to credit card expirations to obtain renewal information.
e. Develop and implement appeals to grow and upgrade participation in the monthly giving program.
f. Track, analyze and report on monthly donor participation.
5. Corresponds with donors.
a. Responds to organization’s “donation” email box, written and telephone inquiries from donors with 24 hours.
b. Tracks donor communications in Raiser’s Edge.
6. Completes other duties as assigned.
Competencies
- Experience working with direct response annual giving program preferred.
- Accuracy and attention to detail a must.

- Strong program management and comfort working with consultants, vendors and donors.
- Proficiency in the use and implementation of standard computer applications including Microsoft Word, Excel, Outlook and Power Point.
- Knowledge of donor relational database software.
- Knowledge of or interest in learning about American Indian education.
Education/Experience/Certification Requirements
B.A.
2 – 5 years of relevant experience
Preferred Qualifications: Knowledge of Raiser’s Edge database

Interpersonal Contacts
This position requires interacting with donors by phone, email and letters. The Manager of Annual Giving has access to confidential donor information and discretion is critical. Interactions are frequent with internal colleagues and external consultants and this position must be able to coordinate all parties to meet shared objectives.
Consequences of Error
If incumbent does not successfully perform job, the following could occur:
- Loss of revenue & donors due to poor donor interactions, errors in mailings or reports and follow-up that is not timely and professional.
- Missed opportunities for support if donors are inappropriately excluded from solicitations.
- Tarnished reputation of organization if appeals and communications are inaccurate or inappropriate.
- Strained relationship with colleagues as the annual giving program is critical to the organization and requires significant collaboration and communication within the organization.
Responsibility for Work of Others
The Manger of Annual Giving reviews the direct response consultants’ work and the work of the Data Entry team on a daily basis to ensure accuracy.
Direction Received
Minimal supervision. Consults supervisor concerning unusual problems.
