JOB DESCRIPTION

Dental Site/Treatment Coordinator

DEPARTMENT: Dental
SUPERVISOR: Dental Director
SUPERVISES: None
POSITION SUMMARY: Oversees the dental care delivery system. In addition, the coordinator performs a variety of educational and financial tasks and duties including, calculating fees for treatment coordinating patient financial arrangements educating patients on individual treatment plan for given diagnosis implementing financial policies discussing payment plans, pre-estimates and patient follow-up and coding.
SPECIFIC RESPONSIBILITIES:
1. Coordinate daily dental clinic activities including patient flow, triage of walk-ins, patient emergencies, records flow, laboratory and referral services.
2. Coordinate dentists and ancillary personnel activities and schedules.
3. Perform clerical functions pertaining to the dental program.
4. Confer with Dentists, RDA, RDH and receptionist to assure complete, current and accurate dental records.
5. Monitor completion of dental records.
6. Communicate as needed with Dentist, RDA, RDH and Receptionists regarding Frequency Limitations, Covered and Non-covered services of the Denti-Cal Program, CMSP, Private Insurance, etc.
7. Learn & affect the Treatment Review Process. Discuss the Treatment Plan with patient and/or patient’s legal guardian. Obtain signature on the Patient Service record and give patient a copy.
8. Where applicable, inform patient of their fiscal responsibilities with respect to their particular insurance coverage.
9. Where applicable, inform patient of their responsibilities in obtaining a Sliding Scale Approval for services.
10. Inform patients that once they start lab work for crown, bridge or prosthodontics, they will be billed for incurred lab fees if they do not complete the process.
11. Attend annual Medi-Cal seminars specific to the Denti-Cal program.
12. Learn and understand the use of RPMS and our third-party billing system.
13. Implement the dental pre-authorization process.
14. Participate in annual review and revision of Dental Superbill.
15. Supervise implementation of safety and disaster procedures.
16. Review all dental records for proper coding.
17. Participate in training of dental staff on use of ADA/CDT codes.
18. Oversee schedule preparation.
19. Communicate with private providers in the community to coordinate dental care and ensure continuity.
20. Track all in-house and outside patient referrals.
21. Arrange coverage for Dental Reception positions in Woodland Dental Clinic as requested.
22. Assist Dental Administrative Manager in developing and implementing policies and procedures related to the dental department.
23. Perform other duties as assigned.


QUALIFICATIONS:
1. High school graduate or GED equivalent.
2. Three years Dental Receptionist experience or current CA RDA license.
3. Ability to operate multi-line phone system.
4. Proficient in ADA coding.
5. Basic mathematic skills required to accurately calculate fees and payments.
6. Knowledge of dental insurance terminology & billing of ADA dental claims.
7. Ability to communicate effectively with patients and staff.
8. Computer literate.
9. Sensitivity to Native American population.
10. Current and in good standing: CDL, vehicle insurance and DMV printout.
11. Indian Preference shall be given to the greatest extent possible.
