JOB DESCRIPTION:

Summary: Performs secretarial and clerical work requiring the exercise of some independent judgment.

Supervision Received: Building Official, Secretary II

Supervision Exercised: None

Essential Job Functions
1. Types letters, reports, statements, memoranda, and other materials from copy, rough draft, or other sources; fills in forms and index cards; composes routine correspondence and other material from general instructions or records.
2. Issues permits and licenses in accordance with prescribed procedures; informs applicants of basic policies and procedures; collects and accounts for fees; issues bills.
3. Receives, screens, sorts, and distributes mail; answers telephone; screens callers and gives information requiring some knowledge of agency policies and procedures; keeps appointment calendar for department officials.
4. Relays complaints, alarms, and other calls to personnel in field or another location using two-way radio or telephone.
5. Establishes and maintains a filing system; controls records and indexes using some independence of judgment.
6. Operates a variety of office equipment including typewriters, calculators, computer terminals, etc.
7. Prepares and distributes agendas and documentation for committee and other meetings.
8. Maintains monthly and annual reports.
9. Performs other reasonably related duties as assigned by immediate supervisor and other management as required.

Minimum Qualifications: Considerable knowledge of grammar, spelling, and punctuation. Considerable knowledge of modern office practices, procedures, and equipment. Skill in the use and care of office equipment. Ability to perform a variety of secretarial work requiring moderate exercise of independent judgment. Ability to communicate effectively verbally and in writing. Ability to establish and maintain effective working relationships with employees, other agencies and the public. Ability to make simple mathematical computations, maintain records and prepare simple reports.

Education: High school graduate or equivalent.

Experience: Two years of increasingly responsible experience in general clerical office work.

Equipment Used in Job Performance: Personal computer, typewriter, copier, dictaphone, calculator, telephone, 2-way radio and printers
