Reports To: Scholarship Grant Administrator
FLSA Status: Non Exempt


Job Purpose

Coordinates the Circle of Scholars Program and provides support to all scholarship programs, serving as a liaison for more than 30 Tribal Colleges and Mainstream Universities that we serve and providing administrative support to the Scholarship Grant Administrator.


Job Context

The Scholarship Coordinator Three will manage and track American Indian College Fund Scholars to determine outcomes. Scholarship support is provided to American Indian students that attend over thirty tribal colleges and Mainstream Universities in order to fulfill a core mission of the American Indian College Fund – offering students access to knowledge, skills, and cultural values which enhance their communities and the country as a whole.

The scholarship coordinator must foster the values of the organization, since the position serves as a point of contact for scholarship recipients and TCUs.


Job Responsibilities

1. Tracks all special scholarship recipients.

a. Obtain, select data on special scholarship scholars (current and historical) that will be tracked from semester to semester to demonstrate outcomes from scholarship support. This data should include, but is not limited to retention and graduation rates, transfer rates, final degree attainment, and employment.
b. Implementing a process using the scholarship database to track and report data. Summarize and disseminate data obtained. Reporting will include but is not limited to scholarship reports, Board reports, annual report, and other public education and development requests.
c. Provides the helping hands support for the special scholarship program.

2. Develop and Maintain the Circle of Scholars Program.

a. Develop and maintain the Circle of Scholarship Program (American Indian College Fund scholarship alumni program)
b. Work with the Public Education team to create and maintain a student micro-site.
c. Develop newsletters, surveys, and other means to inform current and past scholarship recipients and engage them in an interactive relationship.
d. Utilize Circle of Scholarship Program as a tool to obtain data on impact of American Indian College Fund scholarships, including challenges and successes of students while attending school and after.
e. Work with development teams to utilize the Circle of Scholars Program and student microsite to connect donors and students. Specifically work with Corporations and Tribal Relations team to provide students with information on internship and employment opportunities.

3. Identify impactful student and alumni stories and support story dissemination.

a. Identify and obtain impactful student and alumni stories that may be utilized for resource development.
b. Work closely with the Public Education and Development Teams to schedule interviews and photo shoots with students and alumni and support interview and photo shoot process.
c. Work closely with the Public
Education and Development Teams to indentify students and alumni to present at various meetings and functions. Support the efforts to manage the logistics of the student/alumni presentation and to prepare the student/alumni for the presentation. Act as the student/alumni chapereon when needed.

4. Supports scholarship programs.

a. Provides office support when team members are traveling.
b. Recruits for scholarships via conferences, tribal college and mainstream university visits.
c. Assists with scholarship calls and e-mails, responding to scholarship inquiries appropriately.
d. Assists in general office support for the scholarship team.
e. Assists in mailings of posters, newsletters, and other general information for the scholarship team.
f. Other duties as assigned.

Job Requirements

Competencies

• Knowledgeable about computer systems and software, particularly Microsoft Office products and scholarship database systems.
• Excellent organizational skills.

Education / Experience / Certification Requirements

Bachelor Degree or minimum of three years experience working with budgets, vendors and coordinating programs.

Preferred Qualifications: Business degree. Experience working in Student Financial Aid. Experience working with tribal colleges and/or American Indian students.

Independently solves standard problems; receives guidance on complex problems.


Interpersonal Contacts

The scholarship coordinator has daily contact with students, Tribal College Staff and Mainstream Universities to provide support and information on the scholarship programs. Works closely with the Resource Development Teams and Public Education Team on a variety or requests for information. Fields scholarship calls from students. The scholarship coordinator provides information to the public in person, over the phone, via email or U.S. Mail on a daily basis. Provides technical support to tribal college students and staff for the new scholarship database. Addresses scholarship questions from the public via face-to-face, telephone and email.
