JOB DESCRIPTION

Title: Prospect Researcher and Planned Giving Administrator
Department: Major Gifts and Planned Giving
Reports To: Director of Major Gifts and Planned Giving
FLSA Status: Exempt

Job Purpose

The Prospect Researcher and Planned Giving Administrator is responsible for conducting research to identify major gift and planned giving prospects to ultimately increase donations. The incumbent will also execute the organization’s planned giving marketing strategy, coordinate outreach strategies related to planned giving with development staff, track program progress with the goal of growing the organization’s planned giving society – the Circle of Vision. The incumbent will also review, process and track bequests in our organization’s database.


Job Context

The Prospect Researcher and Planned Giving Administrator will provide support to the Major Giving and Planned Gifts team by building the pipeline of major and planned gifts to fulfill a core mission of the American Indian College Fund.

Job Responsibilities

1. Assume primary responsibility for meeting the prospect identification and research needs of development staff, enabling them to meet or exceed fundraising goals.
a. Work independently to identify, qualify and evaluate the gift potential of new prospects.
b. Devise strategies for obtaining new prospects in order to ensure the ongoing development, expansion, and renewal of the prospect base.
c. Develop, implement and manage systems and procedures to meet the information needs of the Major Gifts and Planned Giving Department in preparation for contacting, cultivating, and soliciting major gift and planned giving prospects.
d. Communicate extensively with development officers, keeping abreast of their travel and other initiatives currently underway to meet their research needs.
e. Prepare detailed and up-to-date research briefings on prospects and/or groups of prospects for development staff, prior to donor contact in order to obtain optimal outcomes.
f. Establish an efficient research process that facilitates the gathering of in-depth background information of prospects.
g. Identify new research tools.
h. Work closely with Director to assign prospects to development staff portfolios.

2. Execute planned giving marketing strategy to promote deferred giving to the American Indian College Fund.
a. Execute the organization’s existing marketing plan via direct response, web updates and newsletters, etc.
b. Determine additional cost effective marketing strategies and implement once approved.
c. Track portfolio of planned giving prospects and planned giving society members for cultivation, solicitation, and stewardship by development staff.
d. Process written responses to requests for planned giving information and field phone calls.
e. Ensure compliance with the American Indian College Fund’s Gift Acceptance Policies when reviewing wills, trust agreements, etc.
f. Create documents (endowment agreements, etc.) for deferred gifts when necessary to ensure donors’ intentions are clearly stated and that the American Indian College Fund can follow donors’ restrictions.

3. Bequest Processing
a. Process all realized estate gifts by working with attorneys, conducting a preliminary review of legal documents, and ensuring that the American Indian College Fund has all legal documents (accountings, wills, trust documents) on file and to present to supervisor for final review.
b. Ensure that the Fund’s interest is secured to the fullest in all bequest/estate gifts.
c. Track bequests in Raiser’s Edge to ensure efficient and timely responses and accurate accounting.
d. Responsible for reviewing gift entry of bequests.
e. Update planned giving cash flow projection on a monthly basis.

4. Other duties as assigned to meet departmental objectives.


Job Requirements

Competencies

• Proficiency in Microsoft Office and Outlook.
• Knowledge of donor relational database software.
• Excellent organizational skills.
• Strong written and verbal communication skills.
• Demonstrated proficiency in methods of information acquisition. Show initiative in identifying new sources of information, as they become necessary and/or available.
• Excellent customer service skills.
• Ability to meet deadlines for a wide variety of job assignments.
• Ability to manage numerous tasks and/or projects at one time.
• Attention to and tolerance for detail.
• Knowledge of or interest in learning about American Indian education.
• Ability to work independently with minimal direction.
• Proven ability to accomplish defined goals and objectives.


Education / Experience / Certification Requirements

Bachelor’s Degree.
2 years of prospect research or related experience.


Problem Solving

Independently solves standard problems; receives guidance on complex problems.


Interpersonal Contacts

This position has a great deal of interaction with an external audience, specifically in executing the planned giving marketing plan. Internally, interaction includes extensive interaction with major gift and planned giving officers, the major gifts and planned giving team, other resource development departments and the database manager.


Consequences of Error

Responsibility for Work of Others

Responsible for reviewing gift entry of bequests.

Direction Received:

General supervision. Work is reviewed. Independently performs assignments. Consults supervisor concerning unusual problems and developments.

Essential Physical Requirements:

Must be able to lift 25 pounds (moving boxes of materials from storage) and frequent keyboarding.
